Zoe is the Training Coordinator for Hadland Care Group and holds a CIPD Level 5.
Training audits across the group ensuring mandatory training requirements are met, provides regular updates on qualifications/training gaps to managers and operations by email, produces stats/reports on training, qualifications and gender to the board/ops team, qualifications checks for Tops to ensure colleagues qualifications are considered full and relevant for the early years sector.
Provides support, advice and guidance on mandatory training requirements and NARIC and any other training/qualifications queries.
Sources training providers for settings further afield or if there is a requirement for a course not provided by Aspire or internally
Updates short course calendar with internal training details inviting managers, admins and any other relevant colleagues to ensure this appears on their own calendars.
Checks mandatory training held/required for new starters, adding to relevant trackers
Liaises with Aspire to book onto training required
Books Tops colleagues onto the Tops Induction Course
Schedules training attendance on EYM
Adds document to EYM/CareBlox with date booked and comments for deductions
Chases managers for PFA booklets not returned within 4 weeks following escalation from Aspire
Issues basic Safeguarding log in details to Tops Managers and Admins when new details are confirmed
Generates certificates and emails certificates to colleagues for Tops Induction Course and internal training, maintains
Produces register of attendees for tutor for Tops Induction Course
Uploads all certificates received to colleagues personnel files
Updates on EYM/Careblox and updates mandatory training/additional training (CPD) trackers
Support managers in applying for funding where available i.e. Graduate Leader Funding (GLF) and University of Portsmouth Early Years Initial Teacher Training (EYITT) Funding
Updates tracker with those colleagues working towards qualifications following notification from Aspire or manager where the qualification is being undertaken through another provider, notifies employment compliance part 2 of the new qualifications achieved by colleagues for consideration for pay increase and/promotion.
In addition to training tasks Zoe undertakes the following within her role; Employment compliance support/queries, schedules and confirms HR teams hours, schedules holiday on EYM for specific Directors, Ops and HR team and on outlook for HR team, weekly EYM shift confirmations check and scheduling queries, Term Time Only (TTO) contract queries, obtains working/holiday dates for TTO on an annual basis, calculates and schedules TTO holiday in preparation for the following year and confirms these details by email to colleagues, line managers and ops team, “Thank you Thursday” Facebook post, organises service awards to include ordering badges, frames and gifts where necessary/notifying manager to organise flowers, produces certificates, requests/chases information and manager comments to produce Facebook post forwarding to admin dept. for settings Facebook page and supports with HR developments/system testing on EYM.
